Common issues when connecting Adfin to QuickBooks, and how to fix them.
"Mandate currency and invoice currency do not match" warning
This warning comes from the GoCardless QuickBooks app, not from Adfin. While the GoCardless app stays connected in QuickBooks, it writes a blank mandate currency onto your invoices, which clashes with your GBP invoice and triggers the message.
It doesn't affect your direct debits. All Adfin mandates are in GBP and match your invoices, so collections go ahead as normal and you're safe to click continue.
Solution: To clear the warning, disconnect the GoCardless app in QuickBooks, once you have no further GoCardless collections due.
An invoice has gone to the wrong customer in Adfin
This happens for one of two reasons: the same customer has two records in Adfin and the invoice imported against the one without the active direct debit mandate, or a similarly named but different customer was picked in QuickBooks when the invoice was raised.
Do not change the contact on the invoice in QuickBooks to fix this. Adfin links an invoice to a customer when it first imports and won't move it if you change the contact afterwards, so the change quietly does nothing and the invoice stays where it was.
To put it right, void the invoice in QuickBooks and raise a new one to the correct customer. What to do first depends on where the payment has got to:
Not yet collected (scheduled or unpaid): void the invoice in QuickBooks and reissue it to the correct customer. The new invoice imports against the right record and collects as normal.
A collection already in flight (submitted): open the invoice and choose Cancel payment retries first, then wait to see if the collection succeeds or fails. If it fails, the invoice returns to unpaid and you can void and reissue as above. If it succeeds, follow the step below.
Already paid: refund your customer directly, then void the invoice in QuickBooks and reissue it to the correct customer.
