Use statements to nudge customers to settle unpaid invoices

Send customer statements from Adfin to help nudge customers to pay what they owe. It’s an easy way to follow up on outstanding balances without sending individual chasers.

Configure Statement workflows

Statement workflows let you control how and when statements are sent, so they align with your existing credit control process.

You can set a default statement workflow for your account and define the schedule, rules, and email content.

Access statement workflows

  1. Go to Settings → Workflows → Statements (https://console.adfin.com/settings/statements)

  2. Click the pencil icon next to the workflow you want to edit

Set a sending schedule

You can configure statements to be sent automatically on a recurring schedule, including:

  1. Every month on the last Friday

  2. Every month on the first Monday

  3. Every week on Monday

For more control, select Advanced settings to configure custom timings.

Add sending rules

You can apply rules so statements are only sent when specific conditions are met. For example:

  1. The payment is a certain number of days overdue

  2. The outstanding balance is above a set amount, for example:

    • Minimum outstanding balance of £50

    • Minimum number of overdue days

These rules help ensure statements are only sent when relevant.

Add a custom email message

You can include a custom message in the statement email to provide additional context for your customers.

📆 Automate statements for specific customers

To enable automated statements for individual customers:

  1. Go to the Credit control view.

  2. Select the customer you want to configure.

  3. In the side drawer, open the Workflows tab.

  4. Toggle on Send statements.

Once enabled, the customer will receive statements containing all unpaid payment requests, which they can pay on demand.

You can edit the schedule, rules, and messaging for these statements in Settings → Workflows → Statements.

📋 Send a one-off Statement

You can send a one-off statement to an individual customer at any time.

  1. Go to the Credit control view.

  2. Select the customer you want to send a statement to.

  3. In the side drawer, locate the Customer statement section.

  4. Click the three dots next to Actions.

  5. Choose one of the following:

    1. Copy link — share the link with your customer outside of Adfin.

    2. Send — send the statement directly to your customer from Adfin.

This allows you to share a statement on demand, without changing your automated statement workflows.

👁️ What customers see when they receive a Statement

Statements give customers a clear overview of what they owe and an easy way to pay.

Customers can:

  1. Review all outstanding invoices in one place

  2. Pay invoices directly from the statement

  3. See a history of payments, showing what has already been paid and what is still outstanding

When a statement is sent, the customer receives an email notification.

The email includes a summary of the statement and a View & Pay button (see screenshot below).

Viewing and paying a statement

When the customer clicks View & Pay in the email, they are taken to their online statement.

From the statement page, customers can:

  1. View their outstanding invoices

  2. Make a payment for each individual invoice

  3. View their Adfin payment history
