How do Xero branding themes affect invoice processing and customer notifications in Adfin?

Xero branding themes tell Adfin how to handle an invoice when it's approved. The theme you assign determines whether Adfin collects by direct debit, sends a payment link, or doesn't process the invoice at all.


Adfin Auto Collect

When a Xero invoice is approved on the Adfin Auto Collect theme:

  • Adfin sends the invoice to your customer automatically, with the Xero PDF attached.

  • If the customer doesn't have an active direct debit mandate, Adfin sends them a mandate request.

  • Once the mandate is signed (or one already exists), Adfin schedules the payment for collection.

  • You can track mandate status in the Customers view.

To stop the invoice email going out at approval, disable Email customers when an invoice is issued in the customer agent or customer settings.


Adfin On Demand

When a Xero invoice is approved on the Adfin On Demand theme:

  • Adfin sends the invoice to your customer automatically, with the Xero PDF attached.

  • The customer receives a payment link and can pay by card, Apple Pay, Google Pay or bank transfer.

  • No direct debit mandate is requested.


Keeping invoices out of Adfin

If there are invoices you don't want Adfin to collect, leave them on a non-Adfin Xero branding theme (for example, your default Xero template). Adfin only processes invoices on an Adfin theme, so anything on a non-Adfin theme stays out of collection.

If a theme is behaving unexpectedly, for example an invoice importing when you didn't expect it to or not importing when you did, review the theme allocation in both your accounting software and your Adfin settings. It's easy to mix up which themes or terms are allocated where, and that's the usual cause of surprises.


Used the wrong branding theme?

If an invoice was approved on the wrong theme, open it in Xero, change the branding theme to Adfin Auto Collect or Adfin On Demand, and click Update. Adfin picks it up automatically.
