How Xero branding themes influence invoice processing in Adfin
Adfin's integration with Xero allows for seamless invoice processing and customer notifications based on the specific branding theme applied. This article explains the implications of using 'Adfin Auto Collect,' and 'Adfin On Demand' - on invoice automation, customer notifications, and payment methods.
Overview of Adfin and Xero integration
In Xero, we use branding themes to define how invoices interact with Adfin's system. Depending on the applied branding theme, Adfin determines the corresponding customer notifications and payment process. These themes provide flexibility by automating Direct Debit mandates, sending invoices, or offering On Demand payment links.
Impact of branding themes on invoices and notifications
1. Adfin Auto Collect branding theme
When a Xero invoice uses the 'Adfin Auto Collect' branding theme:
As soon as the invoice is approved, Adfin will automatically send the invoice to the customer with the Xero-generated PDF attached.
For invoices on an Auto Collect workflow, if you don't want the invoice to be sent to the customer when it's raised, you can disable "Email customers when an invoice is issued" in your Auto Collect workflow settings., here.
If the customer does not already have a Direct Debit mandate on file, Adfin will send a new Direct Debit mandate for the customer to complete.
Once the Direct Debit mandate is signed (or the customer already has an active mandate with Adfin) we'll automatically schedule the payment for collection.
You can track the customers direct debit mandate status by heading over to the 'Credit control' view.
2. Adfin On Demand branding theme
When the 'Adfin On Demand' branding theme is applied:
As soon as the invoice is approved, Adfin will automatically send the invoice to the customer with the Xero-generated PDF attached.
The customer receives an On Demand payment link to complete their payment when convenient.
The will have the option to pay by Card, Google Pay, Apple Pay or Bank payment.
Adfin does not send a Direct Debit mandate to the customer.
Used the wrong branding theme?
If you've set up your Adfin branding themes following our help guide, then whenever an invoice is approved in Xero using a non-Adfin branding theme, Adfin will not process or import that invoice (for example, your default Xero template). To fix this, open the invoice in Xero, change the branding theme to Adfin Auto Collect or Adfin On Demand, and click Update. Adfin will then pick up the invoice automatically.
