How invoices get paid: On Demand payer experience

What does your customer see when you send them an On Demand payment request?

Written by Angus Tylee

When you send an On Demand payment request, your customer will receive the invoice via the selected channel - either email, WhatsApp, or SMS - with all the relevant details, the invoice attached as a PDF and a link to make a payment. Here's step-by-step what your customer will experience when paying their invoice:

1. Receiving the invoice

Your customer will receive the invoice in one of the following ways:

  • Email: The email will come from Adfin's domain, but the sender will appear as: "<your company name> via Adfin" (so your customer recognises who the invoice is from, and can see the payment is handled by Adfin).

    • Any response from the customer will be redirected to your email address.

    • The email will include the custom branding you have configured with Adfin.

  • WhatsApp: If the invoice is sent via WhatsApp, it will be delivered through Adfin's official WhatsApp Business account, meaning you don't need an active WhatsApp Business account. The message will follow the same naming convention as the email, with the sender appearing as "<your company name> via Adfin." (Note: currently, we don't support responses from the customer via this channel).

  • SMS: If sent via SMS, the message will be delivered using Adfin's SMS service provider. Similar to email and WhatsApp, the sender will appear as "<your company name> via Adfin." (Note: currently, we don't support responses from the customer via this channel).

In all cases, the email, WhatsApp, or SMS will contain a summary of the invoice and a 'Review and pay' button, which directs them to the secure payment portal.

2. Making the payment

When your customer clicks the "Review and pay" button in the email, SMS or WhatsApp notification, they are taken to a payment page displaying all relevant invoice information, such as the invoice amount, issue date, and due date.

On this page, they will have the option to choose from various payment methods, including:

  • Google Pay or Apple Pay (if applicable, based on the device and browser being used)

  • Pay by bank: A payment straight from their bank account, made through open banking

  • Pay by card: Using a credit or debit card

  • Manual bank transfer: Can appear for high-value requests above the limits set for cards and pay by bank, if you have enabled this option

After the payment is completed, the invoice status will automatically update in your Adfin account to "Paid." The invoice will also be marked as paid in your accounting software if it is connected to Adfin.

  • If the customer clicks 'View invoice', we will show them a preview of the invoice in their browser.

  • If the customer selects 'Pay by card', they can enter their card details as they would for any card payment.

  • If the customer selects 'Pay by bank', they will be asked to give consent for a payment from their bank account, and then to choose their bank.

  • When the customer successfully makes the payment, we will present them with a payment success screen and send them a confirmation email.

If the customer doesn't pay right away

Adfin chases the invoice for you. Payment reminders go out automatically on a schedule you control, until the invoice is paid. You can also turn chasing off if you wish.
