Your invoice settings control how invoices created in Adfin are numbered, when they're due, and the default tax rates, accounts and products that fill in your line items. You'll find them under Settings.
Invoice numbering
Set a prefix and a starting number, and Adfin numbers each new invoice in sequence for you, for example INV-000001, INV-000002. This applies to invoices you create in Adfin.
If you've connected QuickBooks, QuickBooks also assigns its own invoice numbers. To avoid clashes, we'll show a warning so you can keep your numbering schemes from overlapping.
Due dates
Choose a default payment term that decides when new invoices fall due: a preset (14, 30, 60 or 90 days) or a custom number of days. New invoices use this automatically, and you can override it on any individual invoice.
Tax rates
Your tax rates are the VAT (or other tax) rates available to pick on invoice line items, with one set as the default.
Not connected to accounting software? Add, edit and delete tax rates directly in Adfin.
Connected to Xero or QuickBooks? Your tax rates come from there and are read-only in Adfin. You can still choose which one is your default, but to add or change a rate, do it in your accounting software.
Accounts
Accounts are the sales or nominal accounts your invoice line items are coded to, so your revenue lands in the right place in your books. As with tax rates:
Not connected? Manage your accounts in Adfin and set a default.
Connected to Xero or QuickBooks? Accounts come from your accounting software and are read-only here, though you can still set which one is the default.
Products
Your products are a reusable catalogue of line items. Save the things you invoice for regularly, each with a description, unit price, tax rate, account and any tracking, and you can drop them straight onto an invoice instead of typing the details each time.
Connected to Xero or QuickBooks? Your products are brought in from your accounting software automatically and kept up to date, so your catalogue is ready to use straight away.
Want to add more? You can create your own products directly in Adfin at any time, whether or not you're connected to accounting software. Unlike tax rates and accounts, products stay fully editable here even while you're connected.
