Manage credit control with custom statuses

Add custom statuses to any activity that’s at risk, giving you more control over how you track and manage your credit control process

🏷️ Understanding Adfin’s standard credit control statuses

Before we begin, let’s recap Adfin’s standard credit control statuses.

Before an invoice is settled (i.e., paid out to you), it will be assigned one of the following statuses:

  • At Risk

    • Payment is overdue and has not yet been Paid, Settled, or Cancelled.
      Note: Submitted or scheduled Auto Collect payments will not appear here unless there has been a previously failed collection attempt.

  • Expected

    • Any payments that are not At Risk or Confirmed.

  • Confirmed

    • Payments with the status Paid. Adfin will automatically move invoices and payments to Confirmed once they are paid. Once a payment is Settled (i.e paid out to you), it will no longer appear in the credit control widget.

You can view the credit control status for any given collection in the Activity column of the Accept payments view.


⊕ Creating custom credit control statuses

For any collections that are At Risk, you can create and apply custom statuses to help categorise and manage them more effectively.

  1. Add a custom status
    Click the ‘+’ icon next to the At Risk status icon in the Activity column.

  2. Enter the custom status name
    Type the name of your new status.

  3. Create the status
    Click ‘Create: [status name]’.

Once created, you can:

  • Apply the new status to other At Risk invoices.

  • Create additional custom statuses as needed.

  • Filter by these statuses to stay organised and focused.


💡 Tip: You can quickly filter by the At Risk credit control status by clicking the At Risk total amount in the credit control widget at the top of the Accept Payments screen.
