Taking card payments over the phone

Take a card payment while speaking to your client, using Adfin’s secure phone payment flow.

Phone payments let you take a card payment from a customer while you are speaking to them.

How phone payments work

Your customer reads their card details to you over the phone, and you enter those details into the Adfin console to complete the payment.

What you’ll need from your customer

You’ll need to collect:

  • Card number

  • Expiry date

  • CVV (the card's security code)

  • Billing address

What the payment can cover

You can then choose which invoices and payment requests the customer is paying. You can either:

  • Select existing payments

  • Create a new payment

You can take payments in bulk (for multiple outstanding invoices and payment requests), take partial payments, and apply surcharges.

Once the payment is completed, it is managed in Adfin in the same way as your other card payments.


Getting started

Phone payments must be enabled on your account before you can use them.

Enabling phone payments

Head to Settings > Payments > Upgrade features > Payments over the phone. If you would like to use phone payments but do not see the option in your Adfin console, please contact support.

When you enable phone payments, we’ll ask you to:

  • Confirm your business details

  • Accept the terms and conditions for using phone payments

  • Review and confirm your PCI compliance responsibilities

After you submit your application, there may be a short review period before phone payments are enabled on your account.

Your PCI compliance responsibilities

As part of this process, you will be asked to attest to (formally confirm) PCI SAQ C-VT.

PCI SAQ C-VT stands for Payment Card Industry Self-Assessment Questionnaire C - Virtual Terminal. It applies to businesses that manually enter card details into an internet-based virtual terminal, usually for mail or telephone order payments, and do not store cardholder data on their own systems. The questionnaire helps confirm that your business follows the required security practices for handling card information safely.


How to take a payment

To take a payment over the phone:

  1. In the Adfin console, go to the Create section of the side menu and click Payment.

  2. Select Phone payment.

  3. Choose the customer.

  4. Select which payments or invoices they would like to pay, or create a new payment.

  5. Enter the card details your customer provides over the phone.

  6. Check the payment amount and billing details.

  7. Click Pay to submit the payment.

Once the payment is successful, Adfin will update the payment status and continue managing the rest of the process as normal.

Important security reminder

Only enter card details directly into the secure phone payment form in Adfin. Do not write down, record, email, message, or store your customer’s card details anywhere else.
